   TERMS & CONDITIONS

 
It is our aim to provide you with first class service. To help us achieve this please read the following carefully which forms part of the conditions of hire. These are for your and our benefit so there is no misunderstanding and you may enjoy your function to the full. 

Basis of Charging

The basic three day event rate covers supply on one working day, use on the next and return on the following working day.

Booking Amendments and Cancellations

Book as early as possible, if you are employing a caterer it will be best to obtain a written list of their requirements to avoid any misunderstanding.

We will always accept amendments, please try and give as much notice as possible.

Linen Hire

The hire charge includes laundering. All linen damaged by fire or staining will be charged for up to the full replacement cost. All linen is to be returned in the bag provided and free from debris. A covering cloth or similar must be placed under candelabra or bottles to prevent damage.

Electrical Goods

Electrical Items not working must be reported immediately to Rochesters Event Hire Ltd and not touched.

Crockery Cutlery and Glassware

All items returned cracked chipped broken or short will be charged for at replacement cost listed on the order form. Broken items are not to be returned. The hire charge includes cleaning but all items must be rinsed and free from surplus food. No substitute will be accepted.

Silver Plate

Do not clean silver plated items with anything other than a damp cloth.
 
Lost and Damaged Goods
 
1. Any goods lost or damaged will be charged at the replacement rate quoted on the order form. If for any reason you are unable to check quantities back with our staff, it is a condition of supply that in the absence of definite proof to the contrary, our count at our premises is the final as to both quantity and condition.
 
2. The customer when returning any item to Rochesters Event Hire Ltd, must return them in their original packaging and containers. A charge will be made for lost or damaged packaging as listed on the order form. 
 
Delivery and Collection
 
1. Delivery of the goods can be made but a charge will be levied depending on distance. The customer or his agent must be available at the agreed time and place of delivery to accept the goods otherwise the good will not be left and the customer must then collect. If not collected a full charge will be made for the hire. If by arrangement deliveries are made to a third party or unaccompanied premises they will be done entirely at the customer’s risk and they must accept full responsibility for the goods.
 
2. Goods to be collected from the customer must be available on the appointed time and date for collection. If the customer is not able to make the goods available for collection a further collection and delivery charge will be payable or the customer must return the goods at their own expense. Should Rochesters Event Hire Ltd be held up on site for any unreasonable length of time during delivery and collection a charge will be levied at a rate of twenty pounds per hour. Goods not returned at the end of any agreed hire period will have to be returned by the customer at their own expense and time within twenty four hours and will remain on hire until returned. An additional charge equivalent to the first day's hire charge for those items will be made for every day or part thereof that the goods are not returned.
  
3. Any deficiencies or damage in transit must be reported to Rochesters Event Hire Ltd within twenty four hours of delivery and no claim for concealed damage can be entertained by Rochesters Event Hire Ltd unless so notified. 
  
4. Unless prior arrangements have been made our charges allow only for unloading and loading from alongside our vehicle. Our charges assume that all goods will be re-packed ready for collection by the time agreed and will be ready to be loaded from alongside our vehicle. 
 
Payment
 
1. The customer  will pay the hire charges specified in the order form together with any delivery charges. A charge will be made from the time and date specified on the order form as being commencement of the hire period until the goods are returned to Rochesters Event Hire Ltd and Rochesters Event Hire Ltd acknowledges to the customer that they have been received and are in a satisfactory condition.
 
2. All prices quoted will be subject to EU taxes and VAT (where appropriate) at the rate pertaining at the date of collection or delivery.
 
3. Pay shall be due in full without deduction on or prior to delivery. Rochesters Event Hire Ltd reserve the right to charge a deposit at its own discretion. In the case of late payments Rochesters Event Hire Ltd will charge the customer interest at the rate of two percent of the invoice value of the goods per month by way of liquidated damages.
